Work Package 5: Donor management manual
A Donor Management Manual for blood establishments that recommends European good practice will be developed:
A draft Manual to describe good donor management practice will be developed based on the information gathered with the survey (Work Package 4). The Manual will contain four core chapters:
- Recruitment strategies and donation invitation procedures: topics to be addressed are efficient methods of donor recruitment (e.g. brochures, campaigns, donor recruits donor), efficient methods of donor invitation (e.g. donor invitation card, blood drives, internet, email, text messages), the gain of recruitment and invitation of specific donors (e.g. O-negative blood type).
- Donor retention strategies: among other things, optimal procedures for (non)remuneration of donors and donor complaint procedures will be described. Furthermore, waiting times and opening hours in blood establishments will be evaluated.
- Deferral procedures: themes such as reasons for deferral, length of deferral time will be reported and advised on.
- Optimal donor management will be described in terms of: the presence of blood donor organizations, management of donations used for patients (e.g. requiring long-term transfusion therapy), donor complaint procedures, and information dissemination to donors.
Each of four Working Groups will focus on one of these chapters. The specific working group will receive the appropriate survey data (database) from the main partner, analyse the data and describe the results in a(report on data analysis.
The working groups will identify standards and criteria based on these results that can be used in the Manual. Each working group will draft a chapter for the Manual. These draft recommendations will be tested by the other three working groups (Work Package 6). The Work Package leader will be responsible for writing an additional chapter on introduction and conclusion.
The working process will be assisted by two working group meetings. In a first meeting, the members of each working group will discuss the results of the survey. It will be held in one location in order to allow for optimal cross-linking of the results between the working groups. Standards and criteria will be identified that will be the focus of a specific chapter of the Manual.
A first crude draft of the Manual will be written by each Working Group following this meeting. Exchange of this first crude draft within the Working Group will take place using the Member Area of this website. Conference calls will be used to facilitate discussions among the participants of each working group. In the second meeting the draft will be discussed, after which the last adjustments will be made to the draft.
During the work package, the project management team will assist the work package leader if needed in case of divergence of opinions. The draft Manual will be tested in Work Package 6.
